ePractice.eu Events

ePractice.eu combines online with offline activities. Events are organised regularly in the frame of relevant programming by the European Commission.

These events are being held at multiple locations around Europe in the domains of eGovernment, eHealth and eInclusion reflecting current topics and offering a platform on which participants are able to discuss the latest issues and cases face-to-face.

The workshops are initiated by the ePractice in collaboration with other organisations and entities in the dedicated field or domain.

Assisted Events / Conferences / Workshops

ePractice.eu offers an 'Assisted Event' functionality, which is a tailored solution for Public Service workshops. With this formula, workshops that qualify for ePractice assistance can gain visibility through the portal and can optimise the networking effect and knowledge exchange of the event.

ePractice.eu assisted workshops have a dedicated registration web page within the portal, through which users can also network and discuss the topic several weeks before the meeting. These events are also entitled to special mentions in the weekly ePractice newsletter as well as promotion through online social media. Registration of workshop participants is managed through the ePractice portal.

In an effort to promote the exchange of best practice in the domains of Public Services as well as to support the effort of community facilitators in those actions, ePractice has established an 'Assisted Events' Programme.

Under this programme, ePractice will provide planning and organisational support to ePractice members, mainly Community facilitators, who wish to organise workshops, but have limited time or budget.

The ePractice 'Assisted Events' functionality intends to remove some of the burden from event organinisers and allow them to maximise their time while focusing on other aspects of their work such as content, identifying discussions topics, finding speakers, setting the agenda etc.

Under the term 'Assisted Events' we mean events, conferences or workshops
and seminars which are organised by a third party (organiser) in
cooperation with ePractice.eu. Event organisers can apply for assistance
from the ePractice.eu Team and therefore gain visibility and additional
privileges at ePractice.eu. If an assisted event is agreed, the workshop
will comply with the following conditions and have the following
rights:

Rights and Obligations when applying for the 'Assisted Events' functionality on ePractice.eu:

  • Workshop registration will be made through ePractice.eu;
  • In order to register for this specific workshop, participants have to be portal members or become a portal member especially for the registration;
  • Participation to the workshop must be free of charge;
  • A banner of the event will be published in ePractice.eu;
  • An ePractice banner will be included in the event's web page (if applicable);
  • The event will be mentioned in the ePractice.eu newsletter;
  • ePractice.eu PR material (leaflets) will be welcome for distribution at the event;
  • The event may, without specific obligation, include: "supported by [ePractice logo]" on PR materials.
  • The event organiser is in charge of the following:
  • Topic;
  • Speakers;
  • Agenda/programme;
  • Information about the workshop;
  • Q&A from participants;
  • Make necessary updates on workshop page.

The ePractice Communication Team will:

  • Create the workshop's web page on the ePractice portal;
  • Provide one day training to the organiser on how to maintain and manage the workshop page;
  • Provide dissemination of the event via ePractice newsletter and blog;
  • Help participants register online;
  • Assist on a number of ad-hoc actions that may be requested.

Assisted Events should fulfil the following requirements:

  • Be in line with the requirements of the target audience of ePractice - professionals in eGovernement, eHealth or e-Inclusion domains;
  • Aim to have 30 -100 participants;
  • Offer free registration (or reduced rates for ePractice members) for the workshop/conference;
  • Build the workshop around ePractice cases (or bring in new cases and submit them to ePractice at the latest 6 weeks before the workshop);
  • Have presentations of 20 minutes maximum each, before allowing discussion and arrange parallel sessions with 7-20 people;
  • Deliver a workshop report to ePractice 10 days after workshop completion, summarising the main contributions containing a brief analysis and a "Next steps" section.

Information and material to be delivered by the event organiser:

  • Workshop logo/ banner;
  • Banner to link to event portal or home page;
  • Expected number of participants;
  • Maximum number of participants;
  • Presentations and documents to be published;
  • Edited detailed workshop information ready to be published in ePractice.eu, including but not limited to:

- Event date;
- Event title;
- Objectives;
- Presentations;
- Speakers;
- Agenda;
- Venue.

  2. Once the abovementioned information is sent, the ePractice.eu Team will analyse the information sand if the event matches the conditions, ePractice.eu will publish the event on ePractice.eu according to the above stated details and inform you about the publication.
  3. The ePractice.eu banner and link shall be published in the event's web-page (if applicable) at following to its the publication on ePractice.eu.
  4. The event organiser will inform ePractice.eu about the publication of the banner on their website.

To be eligible to apply for an Assisted Workshop one should fulfil the following requirements:

  • The events are in the domains and topics supported by ePractice; namely eGovernment, eHealth, eInclusion;
  • The topic of the event should be original and not to have been covered in the past;
  • The same entity can not organise more than 3 assisted workshops per year;
  • The event organiser should represent or be supported by institutions/organisations relevant to public services.

Information and material to be delivered by the event organiser:

  • One contact person that will act as a facilitator of the webpage as well as all communication between the two parties;
  • Basic information to create the workshop page;
  • Logos, description of event etc.
